The Library Learning Commons plays a central role in fulfilling the mission of the University by providing resources and services that supports the University’s instructional and research programs. It serves as a dynamic hub for learning, collaboration, and innovation, offering access to extensive physical and digital collections, technology and expert guidance. Through its commitment to accessibility, preservation, and knowledge sharing, the Library ensures that students, faculty, and researchers have the tools they need to excel academically and engage meaningfully with the broader intellectual community.

As part of this mission, Bishop’s University is seeking a University Archivist for a temporary full-time position. Reporting to the University Librarian, The University Archivist leads the acquisition, processing, and management of University archives and special collections, ensuring proper organization and long-term preservation of both paper and digital-born records. This includes developing and implementing records management processes, setting priorities, and providing training for staff. The role also focuses on building a robust digital collections program with clear workflows and preservation strategies. Additionally, the Archivist promotes outreach and engagement with internal stakeholders and external users to enhance access and visibility of archival resources, further strengthening the Library’s role as a center for knowledge and innovation. This position has a work week of 35 hours from Monday to Friday with occasional evenings and weekends required. This position shall not exceed two years.

Nature of duties and responsibilities

  • Develop and coordinate the implementation of measures promoting the preservation and accessibility of the University’s administrative documents, institutional archives and private archival collections.
  • Perform the updating, dissemination, and implementation of the Classification Plan – including data security classification – and the University Document Retention Schedule.
  • Lead the provision of services to university units, establishing strategic partnerships and maintaining close relationships, to promote and facilitate the management of administrative documents and archives.
  • Perform and/or coordinate the training and support of relevant staff in the use of proposed systems and methods, physical and digital storage spaces, and the development and dissemination of application tools
  • Ensure the proper management of the physical and digital storage areas under their responsibility according to relevant laws and guidelines and promote the implementation of appropriate preservation measures for administrative documents and archives, particularly by ensuring the durability and security of personal information and sensitive institutional data. Ensure the disposal of certain confidential documents, when permitted by the Retention Schedule and in accordance with the University guidelines.
  • Administer the loan and recall of documents entrusted to them, when requested by the relevant units.
  • Perform the appraisal, selection acquisition, processing and description of institutional archives and private collections in accordance with recognized standards, for the benefit of members of the university community in support of their teaching and research activities, and the research community in general.
  • Provide on-site and remote access to institutional archives and private collections including via a digitization program in order to promote their visibility and consultation.
  • Select and curate materials for inclusion in the University’s special collections.
  • Support University management, faculties, and services in the digital transformation of their documents.
  • Research and implement new archival software tools (e.g., AtoM, Preservica, Permafrost, etc.).
  • Improve work processes, review procedures and regulations, and ensure effective communication of information to staff and relevant users.
  • Promote services and collections through strategic initiatives and outreach activities.
  • Pursue grants.
  • Train and monitor student workers and/or interns.
  • Performs additional similar / related tasks as required.

Qualifications and Requirements

  • Master’s degree in library or information science (ALA-accredited or equivalent) with an archival focus or master’s degree in library or information science (ALA-accredited or equivalent) with a certificate in archival science.
  • Minimum of 3 years of experience in archival science.
  • Knowledge of digital preservation tools, metadata standards and/or repository systems.
  • Knowledge of techniques for preserving physical and digital documents.
  • Understanding of applicable laws and regulations (Freedom of Information and Protection of Privacy Act, Personal Information Protection Act and Copyright Act).
  • Analytical and organizational skills.
  • Ability to communicate effectively with a diverse clientele.
  • Ability to apply confidentiality principles and handles sensitive information with rigor and discretion.
  • Working knowledge of English and French.
  • Heavy and medium exertion.

Compensation

31.47$ to 41.06 $ per hour
