Position: The Library Marketplace Coordinator

Location: 2 Toronto Street, 3rdFloor

Reports to: Director, Operations

Compensation Range: $40,100- 45,900

Hiring Range: $38,500- $41,700

The Organization: The Ontario Library Association (OLA) is a not for profit membership association providing a range of services to more than 5,000 members working in the library and information field in Ontario. Some of the services include educational programming, conferences, a store, and a suite of reading programs. The OLA is a leader in North America among library Associations.

The association currently has 14 staff team members, supporting an annual cadre of association member volunteers of approximately 400. Volunteers have a range of positions including board and council members, and event planning teams, among other initiatives.


The Library Marketplace Coordinator manages the online and in-house store for the Ontario Library Association. The Marketplace Coordinator is responsible for the sales of the association by providing customer services, managing contracts with vendors and institutions.

Financial Management/Administration:

Responsible for meeting sales target for the Library Marketplace through effective planning and budgeting

  • Accountable for net sales of the online store, keeping in line with the budget each fiscal
  • Responsible for updating inventory each quarter and fiscal year-end
  • Meeting with Director, Operations on a quarterly basis, tracking budget vs. actual
  • Accounts Receivables collection; administration and overview
  • Quarterly sales reporting and tracking
  • Prepare invoices for A/P processing with specific general ledger codes, according to budget each fiscal
  • Manages refunds/credits for customers, review statements ensuring accuracy
  • Oversees store inventories for department and ensures the highest level of accuracy when doing so
  • Supervision of product receiving and shipping

Product Research/Development:

Develop and procure new product lines to be sold by The Library Marketplace by evaluating market trends and client/member feedback. Implement a strategic business plan that expands the library marketplace customer base and ensure its strong presence.

  • Identifying and develop new opportunities based on the demands of the market
  • Evaluating the online competition landscape
  • Building image/re-brand for The OLA Press
  • Source out potential partners and vendors

Information Technology:

Responsible for content creation for online store, updates, widgets, promotions, campaigns

  • Responsible for content, design of the online store presence
  • Manage the widget online, in order to increase the traffic to online store
  • Perform routine data entry tasks such as adding/updating product and customer information
  • Investigating new apps; keep abreast of new technologies, integrations

Marketing & Communications:

Sales data management and analysis including understanding of customer financial plans and ability to forecast future results and recommending action plan that are in the best interest of The Library Marketplace

  • Manages the online voice for store incentives, discounts in relation to OLA
  • Create and implement marketing campaign; identifying the gaps in our sales vs. competitors
  • Developing and managing marketing and promotional strategies with the Library Marketplace Assistant
  • Work with The Library Marketplace Assistant to increase social media traffic
  • Manage the pop stores at events throughout the year
  • Establishing new publisher/wholesaler and vendor relationships
  • Developing new merchandise and electronic publication opportunities for The Library Marketplace “Library Lust”

Program Delivery & Relationship Building:

Manage the delivery of The Library Marketplace strategy in conjunction with Director, Operations and/or Designated Manager.

  • Integrating the Library Marketplace strategy with other OLA programs and initiatives
  • Working with Membership, Events, Forest and Communications to increase customers, institutions with a consistent message
  • Manages the Partnership perks program and store in a box
  • Develop strong presentation skills to show the line to retail customers telling a cohesive brand story that includes seasonal initiatives and product specifications
  • Consult and administer contracts with publishers and vendors
  • Liaison to Revenue Development Task Force. Responsible for scheduling meetings, creating agenda, etc.
  • Building our catalogue, outreach and establish a public image


  • Superior sales skills with proven record in the new customer development and publication and merchandise
  • Outstanding organizational and excellent customer service skills
  • Profound understanding of the opportunities in the electronic publication area
  • Proven experience with online e-commerce using web store systems
  • Excellent communication skills, both written and oral
  • Ability to manage multiple tasks in an enthusiastic workplace
  • Ability to plan marketing, communication, and sales strategies to a broad sector
  • Valid driver’s license; will be required to drive to pop up events


  • Experience with Shopify, Sales Force
  • Fluency in English & French
  • Professional Association experience
  • Social media marketing
