The Opportunity
Reporting to the Library CEO, the Supervisor, Community Services is responsible for researching community needs, while developing, delivering, and evaluating responsive outreach and partnership opportunities aimed at increasing the profile and use of the Collingwood Public Library. The Supervisor will work with the leadership team to plan and facilitate annual staff development days and develop training strategies for ongoing learning. They are the lead staff member for donor relations, working with our Friends group on fundraising initiatives. This position is responsible for all aspects of the performance oversight of their direct reports. The Library’s Supervisors are integral to the day-to-day management of the library, assisting in fostering a culture of continuous improvement that aligns with the library’s strategic plan.
What You Will Do
- Research best practices for outreach and community work in public libraries.
- Responsible for the development, delivery, and evaluation of outreach and partnership opportunities with organizations, groups, agencies, businesses, and other stakeholders.
- Participate in committees or project teams for the purposes of developing policies, procedures, and planning at an organizational level, and seek opportunities to promote library services through presentations and participation in community events.
- Build relationships with individuals, community organizations and businesses to deepen their understanding of the value of libraries and to strengthen the library’s understanding of community needs.
- Remain current on library legislation and current public library trends; research and develop potential new services and their positive impact on the library and the community in anticipation of patron needs.
- Manage division staff, which involves conducting performance appraisals, coaching/mentoring, succession planning, training and development, and the application of discipline. Monitor and approve work schedules for division staff while ensuring operational service levels are maintained.
- Assess staffing needs, make recommendations regarding complement amendments and organizational structure; maintain job documentation for division positions; participate in the recruitment processes; and make effective hiring recommendations.
- Prepare and recommend annual budgets, long-range forecasts, and business plans for the division. Administer and monitor the approved budget and expenditures related to the division to ensure effective and efficient use of resources and provide expenditure updates/reports to the CEO when required.
- Review and evaluate the division’s administrative and service delivery processes with a view of streamlining/updating practices and fostering excellent customer service. Coordinate with other divisions to align programs and/or services to achieve division and organization goals, objectives, and initiatives.
- Work with leadership team to research, develop, budget, and facilitate annual staff development days, training strategies, and career development opportunities.
- Act as a liaison between the Friends of the Collingwood Public Library and the library, ensuring the goals of the Friends and the library are in accord and align with the library’s strategic plan, mission, vision, and values.
- Establish and cultivate on-going communications and relationships with the library’s past, current, and potential donors to establish their relationship with the library and increase the likelihood of continued contributions.
- As a member of the leadership team, assist in shaping and implementing the library’s strategic and operational plans, working with division staff to achieve the library’s goals and objectives.
Skills and Experience
- Three (3) years in a public library setting, including supervision/management experience.
- Ability to motivate and direct staff, ability to address and resolve patron and staff conflicts equitably and expeditiously. Energetic professional with experience providing collection building, programming, outreach and communication with patrons and outside agencies.
- Excellent administrative, communication, interpersonal, organizational, time management, and public relations skills, together with the ability to use tact and discretion and to deal courteously and effectively with the public and fellow staff members.
- Ability to multi-task, cope with interruptions and work under pressure to meet multiple deadlines, exercise discretion and good judgment particularly when handling highly confidential/sensitive information. Possess a high degree of initiative and personal integrity.
- Ability to demonstrate tact and discretion in handling matters of a confidential nature, and to maintain confidentiality. familiarity with the Municipal Freedom of Information and Protection of Privacy Act. Ability to cope with a high level of interruptions, exercise discretion and good judgement.
- Working knowledge of Windows and Microsoft Office applications, Integrated Library Systems, internet, database management software, and office equipment.
Qualifications
- Degree in Library and Information Technology or related discipline. Masters in Library Science preferred.
- Possess a current Criminal Record & Judicial Matters Check (Level 2) with results satisfactory to the employer, and a valid standard first aid & CPR/AED Level C certification (or willing to obtain).
