RECORDS MANAGEMENT CLERK SIX-MONTH CONTRACT

25 hours per week

Position Description

Your previous experience working in a public library environment and your familiarity with automated library systems, the TOMRMS filing classification system and online databases have prepared you to assist Administration in determining library records needs and maintaining an effective records management system.

Your meticulous attention to detail and commitment to accuracy enable you to:

  • Create files, both physical and virtual;
  • Name, classify and label those files; scan and/or convert to various formats as required; enter them into the appropriate physical and/or virtual locations, and an accessible, effective index for easy retrieval;
  • Maintain files and move them through their specific life cycles which includes organizing and numbering storage boxes, arranging for physical files to be transported to various locations for storage; archiving of documents; and preparing files for recycling and/or shredding, all according to Library policies and procedures;
  • Update inventories of all files - current, archived and deleted;
  • Maintain confidentiality in all aspects of record management.

Strong technology, computer software and electronic information skills, along with a willingness to learn new technologies, and teamed with knowledge of principles and practices of records management & retention, filing methods and record keeping would be an asset.

You must be able to lift heavy boxes of files, be available to work flexible hours, have a valid police records check, a current driver’s licence and reliable transportation which enables you to work at all branches of the library system.
